As Sales Coordinator, you will play a dual role of key coordinator of sport team group business, as well as administrative support to the Sales and Catering team.
Duties and Responsibilities:
- Administrative support for the Sales and Catering team.
- Distribution of weekly events, banquet event orders, change logs and booking recaps.
- Creation of in-house marketing material.
- Daily bill reconciliation for sales/catering events.
- Generate leads by developing relationships with sport team group business as well as work with the sales team to maximize leads and coordinate new projects.
- Compile and managing database account information; compile and analyze reports to meet overall targets and goals of the hotel.
- Understand rates and procedures, as well as the hotels strategy for the segment.
- Conduct site tours for clients.
- Handle all incoming inquires for sport team groups as well as inquires related to catering.
- Prepare proposals, rate negotiations and block space; process contracts and complete follow up to secure the business within the sport segment.
- Plan, upsell and detail the meeting/function with the client, including space requirement, times, equipment, menus, billing instructions, rooming lists, etc. Complete appropriate paper work, i.e. function sheets, change sheets, convention/group resume, reservation forms, lost business reports, etc. and distribute to departments within the hotel.
- Work with and possess knowledge of the Yield Strategy Worksheet to ensure proper rate quoting and room block allotments.
- Participate in sales/catering meetings.
- Work with other departments within the Hotel to provide quality service to customers.
Preferred Education and Qualifications:
- Administrative degree or minimum of 2 years’ experience in a high volume office setting.
- Must be proficient in Microsoft Word and Excel.
- Hospitality experience preferred.
- Experience in setting and meeting achievement oriented goals and standards.
- Ability to prioritize and to meet deadlines.
- Demonstrated strong communication and problem solving skills.
- Has a strong customer service focus and is able to implement it on a day to day basis.
- Displays a positive attitude, maintains enthusiasm and celebrates success.
- Listens to all sides of an issue to achieve a successful solution that benefits guests and associates.
